Services & materialCatalog & pricesAll offered services are defined organization-wide in one place – recorded once and usable in all projects. The catalog includes name, description, category, unit, standard price and VAT rate per entry. The service overview offers real-time search by service name, description and category as well as standard filters by status, category, unit and tax rate. All columns are sortable, by default alphabetically by name.
Each service has a standard price that serves as a suggested value when creating new services and invoice line items. The price can be changed at any time – changes only affect future transactions. Already recorded time entries, services and invoices remain unchanged. The standard VAT rate is managed centrally in the organization settings and referenced per service, for example 8.1% for Software Engineering or 0% for export.
Each service and each material has exactly one billing unit – for example hour, day, piece, month or kilometer. The unit defines how quantities are later calculated on invoices and is adopted by default in time tracking. During invoicing, the unit can be adjusted per line item. The list of available units should be expandable organization-specifically in the future.
FlowBill deliberately distinguishes between services and materials. Services represent work services such as Software Engineering, Consulting or Support and are primarily used in time tracking. Materials represent billable articles such as domains, hosting or licenses and are used exclusively as invoice line items. An invoice can contain both services and materials. This separation ensures a clear domain structure and clean billing.
Each service has a status that controls whether it can be used for new transactions. Active services are available in all modules – time tracking, manual services and invoice line items. Inactive services remain fully preserved but can no longer be selected for new transactions. Existing time entries, services and invoices remain unchanged. This allows services to be cleanly replaced without changing historical data.
The service catalog forms a central master data source within FlowBill. A service can be referenced by time tracking, invoice line items, reports and statistics. No redundant storage of master data occurs – all modules access the same source. Historical invoices store service and material information as a snapshot, so that already created invoices remain unchanged even with later catalog changes.
