Track time, don't search

Time tracking is one of the core modules of FlowBill. Track working hours with the live timer during work or manually for already completed tasks. Each entry is assigned per project, marked as billable or internal and traceable at any time – the basis for analytics, project controlling and later billing.

Start live timer

Start the timer at the beginning of an activity and stop it after completion – the duration is calculated automatically. Only one active timer runs per user at a time, which avoids overlaps and keeps operation simple. When the timer is started from a task, FlowBill automatically takes over project, task and default service. The workflow is deliberately kept simple: select project, optionally add task and description, start timer, work, stop, save.

Manual entry

As an alternative to the live timer, working hours can be entered manually – ideal for already completed work. As a minimum, project, date and duration are sufficient. If start and end times are given, FlowBill calculates the duration automatically. Task and description are optional. Manual entry and timer produce the same time entry and behave identically – both methods are equivalent.

Search & filtering

The time tracking overview offers real-time search by project name, task name and description. Standard filters such as time period, project, user, billable or non-billable narrow down the list specifically. All columns are sortable, by default by date descending and start time. Even with many entries, the overview remains performant and lag-free.

Billable & internal

Each time entry can be marked as billable or non-billable. Billable times can later be transferred to services and invoiced. Non-billable times – such as internal meetings, training or administration – serve exclusively internal analytics and do not flow into invoices. However, they remain part of project statistics and ensure complete effort control.

Locked times

Once a time entry has been assigned to an invoiced service, it is automatically locked. Subsequent changes are then no longer possible – this ensures the traceability of already created invoices. Until then, all fields such as project, task, description, date, duration and billability can be corrected at any time. Changes only affect future evaluations.

Project & task reference

Each time entry belongs to exactly one project and can optionally be assigned to a specific task. This records how long and on what was worked. Working hours can be evaluated both by project and by task. Assignment to a task is optional – for smaller projects or general work such as customer meetings, time can be booked directly to the project. Historical entries are never physically deleted and remain traceable at any time.
