Store organization-wide standard texts for introduction, description, payment terms and closing remarks. When creating a new quote, these are automatically adopted and can be individually adjusted per quote – without changing the template. This keeps every quote consistent and yet personalizable.
Prices are adopted as a snapshot from the service or material master when created and remain historically correct. Discounts can be applied to individual line items or the entire quote. Multiple VAT rates within the same quote are supported. Subtotal, discount, tax and total are calculated automatically.
Each quote goes through a defined status: Draft, Sent, Accepted, Rejected, Expired or Cancelled. The quote number is only assigned automatically upon first sending – discarded drafts do not consume numbers. Validity date with automatic expiry. Revisions can be created as a new version from existing quotes.
From an accepted quote you can directly create a project. You select the billing model (Hourly or Fixed Price) independently of the quote. Via checkbox you can adopt quote line items as tasks in the new project – for each selected line item, a task with linked service is created. The link between quote and project is preserved.
For fixed-price projects (Fixed Price), quote line items can be adopted directly into invoices as the starting point for the invoice line items. The billing status of each line item is managed – upon invoice cancellation it is automatically reset. For hourly projects, invoicing is done from the recorded time entries instead.
