PDF templates & branding

Quote PDFs in your own corporate design. Three layout variants (Modern, Classic, Minimal) are available, along with a freely definable primary color and individually toggleable columns such as quantity, unit, VAT or discount. An optional footer text and a toggleable brand block with logo complete the appearance. A live preview with placeholder data shows the expected result before saving. A default template is stored per organization and document type. Available from the Starter plan; a modular block editor with drag & drop is planned for the Business plan.

Standard texts

Store organization-wide standard texts for introduction, description, payment terms and closing remarks. When creating a new quote, these are automatically adopted and can be individually adjusted per quote – without changing the template. This keeps every quote consistent and yet personalizable.

Prices, discounts & VAT

Prices are adopted as a snapshot from the service or material master when created and remain historically correct. Discounts can be applied to individual line items or the entire quote. Multiple VAT rates within the same quote are supported. Subtotal, discount, tax and total are calculated automatically.

Quote → Project with tasks

From an accepted quote you can directly create a project. You select the billing model (Hourly or Fixed Price) independently of the quote. Via checkbox you can adopt quote line items as tasks in the new project – for each selected line item, a task with linked service is created. The link between quote and project is preserved and enables later comparisons of the quoted effort against the actual effort.

Quote items → Invoice for fixed price

For fixed-price projects (Fixed Price), quote line items can be adopted directly into invoices as the starting point for the invoice line items. The billing status of each line item is managed – upon invoice cancellation it is automatically reset. For hourly projects, invoicing is done from the recorded time entries instead.

Lifecycle & numbering

Each quote goes through a defined lifecycle – from draft to acceptance, rejection or cancellation. A validity date with automatic expiry keeps the overview clean. From existing quotes you can create a new version as a revision at any time.
